1. Introduction
Your privacy is important to us. The Trade Union of Education in Finland OAJ (hereinafter “OAJ”) is committed to protecting your privacy with the utmost level of care and to processing your personal data in a transparent manner, in accordance with the law in force at the time and good data protection practices.
This Privacy Statement explains how we collect, process and protect your personal data in our stakeholder activities.

3. Purposes and legal bases of the processing of personal data
OAJ uses personal data for stakeholder work necessary for advocacy activities. These include events organised for stakeholders as well as communications, commemoration and cooperation concerning stakeholders.
The legal basis for processing personal data is the Controller’s legitimate interest and the data subject’s consent.
4. The personal data we process
OAJ only processes personal data that is necessary for the purposes described in this Privacy Statement. The purpose of use defines in more detail which information about the data subjects is processed in which situation.
The register processes personal data necessary for the purposes specified in Section 3. These include, in particular:
- first and last name
- job title, rank and role (area of responsibility in the organisation)
- contact information (e-mail address, telephone number and postal address of the workplace)
5. Sources of personal data
Public sources are used as the source of the information and for updating the information; the websites of stakeholder organisations as well as authorities and companies providing services concerning company data and personal data. The data subject may also themselves provide personal data when registering for events.
6. Sensitive personal data
When organising events, data subjects may be asked to provide information about any special diets when registering. The dietary information is reported to the restaurant or catering service in anonymised form. The dietary information is deleted after the event.
7. Disclosure and transfer of data
OAJ may organise stakeholder events together with partners. In order to eliminate overlapping invitation lists for events and to ensure other management of the arrangement of events, OAJ may share the personal data of invitees and participants with partners.
8. Data security
OAJ has the appropriate technical and organisational security measures in place to protect personal data against loss, misuse or other similar unlawful access. Such measures include the use of firewalls, encryption technologies and secure device facilities.
Access to your personal data is also restricted internally by means of access control and granting and controlling access rights. Your personal data will only be processed by employees who are entitled to do so in order to carry out their work tasks.
9. Access to data and exercising of rights
You have the right to check what information we have collected about you in our registers and to influence how we use it.
Right of access and right to rectification
You have the right at any time to check what information we have collected about you or get confirmation that we do not have any personal data about you in our register. If your information is incorrect, inaccurate or incomplete, you can submit a request to us to correct or supplement it.
Restriction of processing and right to object
If your data is incorrect in some respects, you have the right to request temporary restriction of processing until we have verified the accuracy of the data. In certain situations, you also have the right to object the processing of your personal data altogether.
Right to be forgotten
In certain cases, you have the right to be forgotten. We will delete all information we have collected about you if the personal data is no longer needed for the purposes for which it was originally collected. We will also delete the data if the processing of the personal data is based on consent and you withdraw your consent, or if you object to the processing of your personal data, unless there are other grounds for processing.
Right to appeal
In addition to the rights mentioned above, you have the right to lodge a complaint with a supervisory authority about the processing of your personal data.

10. Storing data
The personal data in the stakeholder register is stored for as long as the person belongs to OAJ’s stakeholder group. The person’s data will be deleted if their role changes and they are no longer part of OAJ’s stakeholder group.
Registration data for events is deleted no later than one year after the event. The dietary data collected in connection with registration is deleted one month after the event.
When there is no legitimate need to retain the data, the data is either destroyed or rendered unidentifiable by irreversibly changing it into a format that makes the identification of an individual impossible.
11. Changes to the Privacy Statement
We are constantly developing our privacy practices, which is why we may make changes to this Privacy Statement from time to time. The changes may also be based on changes in legislation. In the event of significant changes, we aim to notify the data subjects of the changes in advance.
